How to Customize the Excel Quick Access Toolbar

The Quick Access Toolbar (QAT) is at the top of the Excel window, and comes with a few default commands installed. See how to customize the QAT, and add macros or favorite commands.

Quick Access toolbar gives you quick access to many useful tools and features of Excel. 

The Quick Access Toolbar , by default it is located above the Ribbon. You can move the QAT below of the Ribbon.

It contains the Save, Undo and Redo buttons. If you can add frequently using Excel commands to the QAT and you can even add some commands to the QAT that are not in the Ribbon.


2. Add a command to the Quick Access Toolbar From Ribbon

Right click on the appropriate tab or group to display the command in Ribbon that you want to add to the QAT.


For example, if you want to add Sort Button to QAT, right click on the Sort Button in Sort & Filter Group in Data Tab and click Add to Quick Access Toolbar.




3.Add a command to the Quick Access Toolbar From that is not on the Ribbon



Click Customize the Quick Access Toolbar and select More commands from drop down menu.




In the Choose commands from drop down list, click Commands Not in the Ribbon

Find what you want the command in the list (Example : Form), and then click Add. Ok finish adding command is not on the ribbon.




4.Remove a command from the Quick Access Toolbar


If you want to remove a command from the QAT Right-click on the command you want to remove from the Quick Access Toolbar, and then click Remove from Quick Access Toolbar on the shortcut menu.





5.Customize the Quick Access Toolbar by using 

the Options command
You can add, remove, and change the order of the commands on the Quick Access Toolbar by using the Options command.

1.Click the File tab.

2.Under Help, click Options.

3.Click Quick Access Toolbar.

4.Make the changes you want.



6. Change the order of the commands on the Quick Access Toolbar 



If you want to change the order of the commands on the QAT please follow below steps.
  • Right-click the QAT, and then click Customize the Quick Access Toolbar on the shortcut menu.
  • Under Customize Quick Access Toolbar, click the command you want to move, and then click the Move Up or Move Down arrow.

7.Group the commands by adding a separator 

between the commands
You can group the commands by using the separator to make the Quick Access Toolbar appear to have sections.
  • Right-click the Quick Access Toolbar, and then click Customize the Quick Access Toolbar on the shortcut menu.
  • In the Choose commands from list, click Popular Commands.
  • Click <Separator>, and then click Add.




To Place the separator where you want it, click the Move Up or Move Down arrow.


8.Move the Quick Access Toolbar 


The Quick Access Toolbar can be located default above the RibbonIf you want to change the Quick Access Toolbar location from above the Ribbon to below the Ribbon.

Click Customize Quick Access Toolbar and in the list, click Show Below the Ribbon. 


9.Quick Access Toolbar Reset to the default settings

  • Right-click the Quick Access Toolbar, and then click Customize the Quick Access Toolbar on the shortcut menu.
  • In the Customize the Quick Access Toolbar window, click Reset Defaults, and then click Reset only Quick Access Toolbar.


10.Export and Import a customized Quick Access Toolbar

You can export and import your ribbon and Quick Access Toolbar customizations into a file that can be imported and used by a friends and colleagues or on another computer.

1.      Click the File tab.

2.      Under Help, click Options.

3.      Click Quick Access Toolbar.

4.      Click Import/Export, and then click Export all customizations.

5.    If you want import click Import Customization file.


11.QAT Keyboard Shortcuts

To quickly use the commands on the QAT, use the keyboard shortcut, Alt + [Button number In QAT]

For example, if Print Preview is the first command at the left of the QAT, press Alt + 1

That will shows Page Print preview options. Similarly Commands order 2,3,… in QAT, shortcut keys are Alt+2,Alt+3,….
